This policy describes healthexpo-vie.at hosted by easyname. Hosting agreements, recipients, specific retention periods and any international transfers still need to be completed.

Scope and current operation
The public website supports automatic submission of registrations and enquiries. Online payment and live matchmaking are not yet configured. Public access and custom-domain connection are separate operational steps.
Website access and hosting
Accessing the site sends technically necessary connection data to the hosting service, such as IP address, date and time, requested files, browser and device information. The website is provided through OpenAI Sites; account and sign-in data may also be processed for protected access. The event application does not request your account password. Technical processing serves page delivery, access protection, stability and abuse prevention. Where this processing is attributable to the website operator, Article 6(1)(f) GDPR may apply on the basis of these legitimate interests. The hosting roles, log retention periods, subprocessors and any international transfers still require confirmation from the provider agreements.
Forms and stored submissions
While completing a form, your details initially remain in the open browser tab’s memory. Only the final submission button transmits contact, company and participation details and any binding declaration to the website server, which stores them in its connected Cloudflare D1 database. The record also includes receipt time, reference number, form type, language, terms version and email submission status. Access to submission administration is restricted to the website owner. Required fields are needed to process the submission. Please do not enter health information.
PDFs, draft files and printing
PDFs and JSON drafts are generated on your device or read from a file you select. This does not upload the file to the organiser. You control saving, printing, sharing and deleting these files. On shared devices, consider download folders, print queues and device security.
Submission and email receipts
Registrations and enquiries are submitted to verwaltung@healthexpo-vienna.at. The server sends the administration message and a receipt to your supplied email address through Microsoft 365 / Microsoft Graph. If sending fails, the stored record remains available and the website owner can retry delivery. Pre-contractual and contractual processing serves participation organisation; general enquiries are processed for a reply.
Recipients and retention
Recipients are the relevant organising team members. Storage and sending use OpenAI Sites with Cloudflare D1 and Microsoft 365. Entries are not automatically published or shared with other attendees. Stored submissions and sent copies remain until deleted by the organiser. The organiser must still complete specific retention and deletion periods, provider agreements and any international transfer details. Abuse prevention uses a hashed hourly identifier to count submissions; expired identifiers are deleted during subsequent submissions.
Cookies, analytics and external content
The website code does not set analytics or marketing cookies or include advertising trackers. The logo, images, video, system fonts and PDF library are provided without embedded third-party media players. Technically necessary hosting and sign-in functions must be considered separately and still need to be checked against the provider’s information. Non-essential cookies or comparable device access would be used only after any consent required under section 165(3) of Austria’s TKG 2021 and, where applicable, Article 6(1)(a) GDPR.
External links and services
Hotel, transport and other external links open the relevant provider’s website. Visiting it establishes a connection to that provider, whose privacy information then applies. Selecting a hotel link does not book a stay on this site or send your form entries to the hotel.
Eventjet ticket shop and matchmaking preview
Eventjet is the selected ticketing provider; b2match is selected for matchmaking for all registered attendees. Online payment and QR admission are requirements for future ticketing; they have not been activated or tested live. No ticket shop is currently embedded or linked, and no ticket payment takes place through this area. Once enabled, a deliberately selected link will open the Eventjet shop. Provider information and the actual ticket-purchase processing will be added before activation. The matchmaking preview uses fictional profiles only and keeps selected roles, interests and simulated requests in the tab’s memory. There is no actual profile publication, messaging or meeting booking. Any future participant portal will be activated with its own privacy information.
Health data, marketing and profiling
Please do not enter diagnoses, medical records or other sensitive health information in contact or participation forms. This website does not provide individual medical consultations. It makes no automated decisions with legal or similarly significant effects and performs no application-level profiling. Newsletters, public profiles, matchmaking and lead sharing are not active; they would receive separate information and, where required, separate consent choices.
Your data protection rights
Subject to the legal conditions, you have rights of access, rectification, erasure, restriction and data portability. You may object to processing under Article 6(1)(f) GDPR on grounds relating to your particular situation, and may object to direct marketing at any time. You may withdraw consent at any time with effect for the future. Contact office@healthexpo-vienna.at. Only identity information necessary to handle your request securely will be requested.
Complaints and updates
You may complain to a data protection supervisory authority. In Austria: Austrian Data Protection Authority, Barichgasse 40–42, 1030 Vienna; dsb@dsb.gv.at; dsb.gv.at. This policy will be updated when operations change. Outstanding hosting, recipient, retention and transfer details must be completed before final approval.
Matchmaking profiles and connection requests
Matchmaking registration is separate and voluntary. Sign in using a personal email one-time link or an eight-digit code. Both expire after 15 minutes and can only be used once. A necessary protected session cookie keeps you signed in for up to seven days. We store the verified email, technical session and verification information, professional profile information, visibility preference and connection requests. Access requires an activated email. Only profiles expressly made visible are shown to other activated matchmaking participants. Messages are sent to selected contacts; new requests may be notified by email. Email addresses are shared between participants only after a request is accepted. You can hide your profile or delete it and its connection requests at any time. Already delivered emails are unaffected. Do not enter health data in profiles or messages.
